Operations Coordinator/Manager 100% - Basel

Coordinate and manage complex calendars across time zones, including scheduling meetings and appointments
  • Draft, proofread, and manage internal and external communications
  • Prepare and format documents, reports, and presentations to meet internal standards
  • Organise international travel arrangements and prepare detailed itineraries
  • Reconcile credit card statements, process reimbursements, and manage travel and financial documentation
  • Provide back-up support for other senior assistants within the unit
  • Maintain and structure both electronic and physical filing systems, ensuring easy retrieval and confidentiality
  • Assist in strategic project coordination, including scheduling, documentation, and tracking deliverables
  • Prepare agendas and meeting minutes and follow up on action items
  • Support sprint meetings and contribute to ideation and prioritisation processes
  • Help organise internal and external events and liaise with stakeholders for logistics and documentation
  • Maintain stakeholder contact databases and assist with communication follow-ups
  • Proactively identify and implement improvements in administrative and organisational processes

  • Proven experience in a broad administrative or operational support function
  • Experience working in a start-up or highly dynamic and evolving environment
  • Comfortable engaging with stakeholders across different backgrounds and seniority levels
  • Fluent English is required
  • Strong proficiency in Microsoft Office 365 and Outlook
  • Highly organised, detail-oriented, and able to multitask efficiently
  • Strong interpersonal skills, collaborative mindset, and ability to work in a flat and multicultural team structure
  • Acts with discretion, tact, and initiative
