Coordination and grant management

During phase 1 of the grant (“Transition”, until December 2027):

  • Manage the transition phase workplan and timeline.
  • Liaise with subawardees and consultants, drafting agreements, processing payments, and monitoring delivery of results.
  • Coordinate the organization of meetings (virtual, hybrid and in-person), including logistics, liaison with participants, technological support and documenting outcomes.
  • Support the transition of existing assets (websites, tools) from predecessor organizations, if applicable.
  • Keep an up-to-date budget for internal project use and in the budget system; create estimates and swiftly process payments to ensure appropriate expenditure of the grant.
  • On-board GHPA Secretariat staff, once recruited, on financial and administrative procedures.

During phase 2 of the grant (“Implementation”, January to December 2027):

  • Draft and execute contracts and other agreements with sub-awardees, consultants and other partners as per GHPA Secretariat and Governance Committee guidance, and process payments upon confirmation of deliverables by the GHPA Secretariat.
  • Liaise with the GHPA Secretariat to track delivery of grant outputs and other performance indicators for internal and external monitoring and reporting purposes.
  • Keep an up-to-date budget for internal project use and in the budget system; create estimates and swiftly process payments to ensure appropriate expenditure of the grant.
  • Regularly discuss budget performance with the GHPA Secretariat, and liaise with the donor/s should reallocations become necessary.
  • Coordinate GHPA Secretariat input into and lead or support, as needed, the drafting of donor reports and grant proposals, as well as internal monthly programme updates.
  • Support procurement of goods and services for the GHPA Secretariat.

Perform any additional tasks requested by the Director, HIV Programmes and Advocacy.

Requirements

Academic qualifications
  • A degree in public health, international development, business, business administration, project management, or a related field or relevant work experience.
  • A graduate degree would be an asset.
Experience
  • At least 3-5 years of experience in a similar position, preferably working in global health or development at an international level.
  • Experience coordinating and administering complex projects and working across functional areas.
  • Experience working with external partners, donors, service providers and/or consultants an advantage.
  • Experience organizing and coordinating virtual, hybrid and/or in-person meetings and other events.
  • Experience working in the HIV field and demonstrated understanding of the HIV Prevention landscape and its key stakeholders.
  • Although not essential for this position, the IAS acknowledges the value of the experience of living with HIV and will consider this when evaluating applications.
Skills/competencies
  • Highly organized and systematic, with strong attention to detail both in writing and budget administration.
  • Ability to work independently with minimal supervision and take initiative.
  • Sense of diplomacy as well as cross-cultural communication skills.
  • Ability to work efficiently under pressure in an international context.
  • Strong computer skills in the Windows environment and in utilizing virtual meeting platforms.
  • Ability to travel internationally (1-2 business trips per year).

Languages
  • Excellent written and oral English language communication skills. Working knowledge of additional languages, particularly French and/or Portuguese, is an asset.
