Receptionist Responsibilities
- Act as the first point of contact for all visitors and callers
- Manage incoming calls in German and English
- Receive and assist clients and guests
- Coordinate meeting room schedules, including preparation, setup, and ensuring rooms are clean and ready for use
- Organize and support virtual meetings, including video conference setup and troubleshooting when needed.
- Support daily office operations across different departments
- Assist with a variety of administrative and organizational tasks
- Manage office supplies and ensure a well-stocked workplace
- Coordinate basic logistics, bookings, and internal arrangements
- Handle ad-hoc requests and step in where support is needed
- Contribute to a smooth, efficient, and positive office environment
- Previous experience in reception, office support, or a similar allrounder role
- Fluent in German and English; any additional languages are a strong advantage
- Professional and friendly demeanor with strong interpersonal skills
- Excellent organizational abilities and attention to detail
- Strong multitasking skills with the ability to prioritize effectively
- Reliable, proactive, and hands-on attitude
- Confident in handling phone calls and interacting with clients and visitors
- Good knowledge of MS Office and general administrative tools
- Flexible and willing to support across different tasks and teams
- Service-oriented mindset with a commitment to creating a positive office environment
