In this role as Executive Assistant, you will serve as a central point of contact within the organization. Your primary responsibilities will include:
- Serving as the point of contact between senior management and both internal and external stakeholders.
- Handling calls, taking messages, and ensuring the efficient flow of correspondence.
- Processing requests and inquiries with professionalism and confidentiality.
- Managing complex schedules: planning meetings, scheduling appointments, and proactively managing reminders.
- Organizing business travel and handling all related logistics.
- Attending meetings, including board meetings, drafting minutes, and managing administrative tasks related to official records, as well as updating internal databases.
- Prepare reports, presentations, summary documents, and communication materials.
- Establish and maintain a structured and efficient documentation and filing system.
- Provide professional and, at times, personal support to managers (document formatting, presentation preparation, information management and processing).
- Help organize professional events in Switzerland and occasionally in Europe, in collaboration with an international team.
- Demonstrate flexibility regarding working hours and be available, if necessary, outside of regular office hours and travel once a week within the canton of Fribourg
Permanent Contract / Medical GER / FR / ENG
As an Executive Assistant, you should meet the following requirements:
- A degree in administration, secretarial studies, or a related field.
- Excellent command of German, which is essential for correspondence with municipal and cantonal authorities, as well as with internal and external legal partners, combined with strong French and English skills.
- Proven experience in a similar role, ideally within the medical sector.
- Excellent organizational skills, a keen sense of priorities, and great attention to detail.
- Very good proficiency in office software (MS Office).
- Ability to manage multiple tasks simultaneously in a demanding and constantly changing environment.
- High flexibility, particularly in adapting to unforeseen events, urgent requests, and a fluctuating work pace.
- Professional attitude, service-oriented mindset, and absolute discretion in handling sensitive information.
