On behalf of one of our clients, a Geneva-based single family office, we are looking for an:

Administrative Coordinator

Responsibilities:

  • Coordinate and oversee the day-to-day administrative operations of the office.
  • Manage calendars, meetings and administrative follow-up for internal and external stakeholders.
  • Organise business travel, logistics and meeting arrangements when required.
  • Handle correspondence, documentation and maintain well-structured filing systems.
  • Manage invoices, payments, expense tracking and administrative follow-up with external providers.
  • Coordinate with banks, lawyers, fiduciaries, suppliers and other external partners.
  • Ensure smooth office operations, including supplies, office coordination and general administration.
  • Support the preparation of documents, reports and presentations.
  • Monitor deadlines, administrative processes and ongoing matters with accuracy and attention to detail.
  • Contribute to improving administrative organisation and operational efficiency.

Profile:

  • Proven experience in an administrative coordination, office management or executive support role within a demanding environment.
  • Experience within a family office, private office, financial environment or entrepreneurial structure is a strong asset.
  • Excellent organisational and multitasking skills with strong attention to detail.
  • High level of discretion, reliability and professionalism.
  • Proactive, hands-on and solution-oriented mindset.
  • Ability to manage multiple priorities and work autonomously.
  • Strong communication and interpersonal skills.
  • Fluent in French and English, both written and spoken; additional languages are an asset.
  • Very good command of MS Office and standard administrative tools.
